What a pet profile looks like at the register
Custom fields hold the details a pet shop needs. The notes travel with the customer to every sale, booking and repeat order.
What to record for each pet
Start with the fields that change what you sell. Everything is optional and editable.
| Field | Why it matters | Example |
|---|---|---|
| Species & breed | Right size of bag, harness or cage | Lop rabbit |
| Birthday | Life-stage food changes and birthday offers | 12 March 2023 |
| Weight | Portion and dosage advice | 2.1 kg |
| Food eaten | Reorders and substitutions | Timothy hay, adult pellets |
| Allergies & no-gos | Stops the wrong treat being sold | No alfalfa |
| Grooming notes | Groomer prep and safety | Nervous with clippers |
| Vet or clinic | Where to send them for health questions | Free text |
A Saturday afternoon, a new staff member
The owner of Pepper the rabbit asks a weekend hire for “the usual pellets”.
- 1Customer selected. The new hire types the phone number; Pepper’s profile opens.
- 2Note appears. “Adult pellets, timothy-based — no alfalfa after age one.”
- 3Right product sold. The usual bag is one tap away under “last purchased”.
- 4Points added. Loyalty points land on the same account.
Is it safe to keep customer data in a POS?
Profiles hold only what you choose to record. Data sits in the hosted database for your business account, access is controlled by staff roles, and you can export or delete a customer on request. Read how data is hosted and backed up on the security page.
- Role-based access: hide phone numbers from junior staff
- Export to CSV whenever you need it
- Delete on request for privacy laws

Customer & pet profiles: questions
Can one customer have several pets?
Yes. Add as many pets as the household has. Each pet has its own fields and notes, and repeat orders and grooming bookings link to the right pet.
Where do pet notes appear?
When the customer is selected at the register, in the grooming booking and on the refill list for repeat orders.
Can I add my own fields?
Yes. Custom fields let you record what matters to your store, such as microchip number, coat type or preferred groomer.
How do I find a customer fast at the till?
Search by name, phone number or pet name. Most stores use the phone number.
Can I import my existing customer list?
Yes. Import customers from a CSV file. Pets can be added in a second import or as you go. See the switching guide.
Can I send birthday offers?
You can filter customers by pet birthday month and export the list to your messaging tool or the GHL snapshot included in the bundle.
Who can see customer phone numbers?
Staff roles control it. You can let cashiers select customers without seeing or exporting their contact details.
Can a customer ask us to delete their data?
Yes. Delete the customer record from the back office; sales history stays in your reports without the personal details.
